Yes, we encourage parents to communicate with each other and agree upon which color group they would like to register their children. We can only release information regarding specific group requests or placements to a child’s legal guardian(s), so we rely on the parents to plan this out prior to registration.
We will make every attempt to honor requests for children to be placed together in the same group, however, we cannot guarantee group placement.
-
After the registration form is completed and submitted, you will receive an email confirming that the registration form has been received by the VBX team. You will receive a second email once your child has been officially assigned to a group. This second email is typically sent out a few weeks after registration.
We do our best to place your child in the group requested on the registration form, but we cannot guarantee that all group requests can be honored. Group placement is determined on a first come, first served basis, so if a registration form is received after the group maximum has been reached, the child will either be placed in a different color group within the same grade level or will be placed on a waiting list for the original group listed on the registration form.

No, VBX t-shirts are available for purchase ($10 each) both prior to and during VBX, but are not included as part of registration.
-
Children who are old enough to enroll in Kindergarten are eligible to register for VBX. This does include children who are old enough to enroll, but who are waiting an additional year before officially enrolling. For VBX 2025 Kindergarten enrollment, the cut-off birth date is July 31, 2020. If your child was born after this date, he or she will not be eligible for VBX in 2025.
-
If your child needs to be absent from VBX due to previously planned activities, please communicate this with your child’s group leaders, so that they can notate this on the attendance sheet.
If your child will be absent due to illness, please email kelli.cox@wchurch.tv so that the attendance sheets can be updated before VBX begins.
-
Once a child has completed 6th grade, he or she is no longer eligible to attend VBX, BUT we would love for them to return as a middle school volunteer! We love to have middle school students who have enjoyed VBX return to help younger children have the same amazing eXperience! Volunteer spots are limited for 7th and 8th graders, so please be sure to register your student as soon as possible at www.wchurch.tv/vbx
-
We cannot have VBX without the amazing volunteer support that we see each year. Parents, grandparents, aunts, uncles and siblings are welcome to volunteer in either teaching positions or relationship builder positions. Please visit www.wchurch.tv/vbx to register as a volunteer!
-
The registration form provides space for parents/guardians to notate any allergies or medical conditions that our VBX team needs to be prepared for. This also includes allergy and/or medical action plans so that staff and volunteers are prepared for any situations that may arise.
Communication will also be sent out a few days before VBX begins which will include snack information for each day of the week. If your child has any allergies to the snacks provided, we encourage parents to send an alternate snack for their child to enjoy during the snack rotation.
If there are any allergies or medical conditions that are not able to be addressed or thoroughly communicated on the registration form and/or the allergy/medical action plan, please email kelli.cox@wchurch.tv to further detail any information that staff and volunteers need to be made aware of.

An email will be sent out a few days before VBX begins with all the pertinent details for the week. The drop-off/pick-up location will be included in this email.
On Monday of VBX, parents can begin dropping children off at 8:30am in the designated drop-off classroom/location. Tuesday – Friday, parents are asked to wait until 8:45am to begin dropping off their children.
We ask that parents pick up their children promptly at 12:00pm at the same classroom/location as drop-off.
Each morning, every child in Kindergarten – 3rd grade will be given a colored wristband at drop-off with a number printed on it. The adult that is present at drop-off will be given a tag with the matching number printed on it. This tag will need to be presented each day at pick-up before a child is released from the classroom.
If two different adults will be dropping off and picking up, that is ok! Please make sure that during pick-up, either the physical tag or a picture of the tag is presented to the volunteers in each child’s class. If you know in advance that two different adults will be dropping off and picking up on any given day, please communicate this to the volunteers in your child’s classroom during the morning drop-off so that they can notate this and be expecting to see a different adult later in the day.
-
Your child’s safety is of utmost importance to our VBX staff, so we have put several safety measures in place.
-As noted above, colored wristbands with ID numbers are given to every child in Kindergarten – 3rd grade each day during drop-off. The adults present at drop-off are given a tag with the matching number, which this tag or a photo of the tag will need to be presented during pick up.
